Venue and hotels

A number of hotel rooms in different price categories have been reserved in Amsterdam and the surrounding areas for the ERS Congress. As a service for Congress participants, RAI Hotels & Services will arrange your hotel accommodation at no extra charge. There are different hotel room categories, ranging from 2 to 5 stars. Some hotels may require a minimum stay.

IMPORTANT NOTICE: There are websites, companies and individuals who falsely claim or imply that they are partners of the ERS Congress 2025. Please be aware that registration is handled by KIT Group and Hotel Accommodation by RAI Hotel & Services. ERS does not accept any responsibility for bookings made via unofficial websites/agencies or any monies lost as a result. This website is the official and only Congress website.

Amsterdam city tax

12.5% city tax applies on all hotel bookings. This percentage is included in the room rates negotiated by RAI Hotel & Services.

Hotel accommodation for for individual participants

Please be informed that hotel bookings through RAI Hotel & Services online portal are exclusively for participants registered to the ERS Congress 2025. We reserve the right to cancel your reservation(s) in the event that registration for the event has not been completed.

Cancellation and Changes Policy

Please notify RAI Hotel Services directly for cancellations or changes. These can be made either online or by email. If your reservation was made through an affiliate provider, any changes or cancellations must be made directly with the hotel.

Cancellations are free up to two days before arrival by 16:00 CEST. For weekend or Monday arrivals, changes must be submitted before Friday at 16:00 CEST.

After the deadlines mentioned above, the hotel is entitled to charge for the full stay. Note that the cancellation fee is based on the processing date. The online system accepts cancellations and changes 24/7.

Emails are processed during business hours only (Monday to Friday). If you do not check in, your room will be cancelled at noon (CEST) the following day, and a no-show fee will apply. If you leave before your confirmed departure date, the hotel may charge for the remaining nights.

For Okura Amsterdam Hotel, Amsterdam Marriott Hotel, Renaissance Amsterdam Hotel & Hilton Hotel Amsterdam different cancellation policies apply than described above.

Payment Policy

By providing your credit card details, you authorise RAI Hotel Services to use it as a guarantee. In the event of a late cancellation or no-show, the card will be charged accordingly. The final hotel bill will be settled directly at the hotel during your stay. Please note that some hotels may not accept cash payments.

Group and payment conditions (for groups of 10+ participants)

The company prepays room, city tax and, if applicable breakfast by invoice.

In the case of a no-show on the confirmed arrival date, the hotel will keep the room available for arrival the next day. The hotel is entitled to charge no show or late cancellation fees as per the cancellation conditions below.

Changes on reservations with arrival in the weekend or on Monday can only be processed if received before Friday 16:00 CEST.

Cancellation conditions (groups)

• Room nights cancelled more than three months prior to the first arrival date ~ can be cancelled without charges.
• Room nights cancelled less than three months prior to the first arrival date ~ 15% of the total accommodation price (*) will be charged to you.
• Room nights cancelled less than two months prior to the first arrival date ~ 35% of the total accommodation price(*) will be charged to you.
• Room nights cancelled less than one month prior to the first arrival date ~ 60% of the total accommodation price(*) will be charged to you.
• Room nights cancelled less than two weeks prior to the first arrival date ~ 85% of the total accommodation price(*) will be charged to you.
• Room nights cancelled less than one week prior to the first arrival date ~ 100% of the total accommodation price(*) will be charged to you(*) the total accommodation price is the number of rooms x the number of nights reserved.

Payment Conditions valid for OI contract:

You will guarantee payment of the overnight accommodation including city tax and, if mentioned in the room type, breakfast.

Three months prior to the event, the total amount paid should equal 25% of the total amount due; we will send an invoice in time.

Two months prior to the event, the total amount paid should equal 50% of the total amount due; we will send an invoice in time.

One month prior to the event, the final amount due is requested. An invoice will be sent, based on the most recent update of the number of room nights.

After the event and after receipt of all hotel invoices we will send you the final invoice with breakdown. All invoices need to be paid in full. In case the total reservation value (*) has changed and effects the amount due this will be corrected in the following invoice.

Any additional charges have to be paid by the guests upon departure.
